THE TRANSCRIPTION PROCESS

  1. Dictation via dictation equipments, in-house recording system and PC recording.

  2. Audio file transfer via FTP (File Transfer Protocol) as provided in the website of TranscribeMedia and direct transfer when using the toll free 1-800 call in phone dictation system

  3. Voice files are then distributed by the production supervisor

  4. Production Supervisor (PS) checks on emailed instructions and correspondences which normally contain patient lists and templates needed in the transcription process

  5. PS communicates receipt of work with the clients

  6. PS converts incompatible files into a format readable by the voice file player

  7. PS checks on the progress of the transcribers and editors

  8. Transcribers are assigned voice files and transcribe them according to specific templates and use the transcription software and tools installed in their workstations. They also check with the online references and search tools on the internet

  9. PS monitors the flow of transcribed and edited reports as they pass through the first-pass editors, second-pass editors and proofreaders

  10. PS sorts out finished reports that passed the final quality evaluation and upload them to the client's individual FTP accounts as provided by TranscribeMedia.

  11. He sends an email notification afterwards to all clients informing them about the finished transcribed reports.
